Load Forward Bookings 

  1. Select the date from which you will start using frontdesk for taking all your bookings. Be sure to allow enough time to load all of your existing bookings before this date.

  2. Load all existing bookings beyond that date into eviivo frontdesk.

  3. Continue to record new bookings beyond that date in eviivo frontdesk.

  4. Maintain list of all forward deposits that are recorded in both systems.

  5. Write internal procedures for bookings, cancellations, refunds, banking, shift reconciliations, exporting/importing, and reporting.

Per Person Pricing

Question:

How do I set up rooms or charters that are charged per person, or have a different price depending on the number of customers?

Answer:

The System does not allow per person pricing for accommodation or charter products. Per person pricing is only applicable to multi-booking (e.g. tours) products.

The recommended solution is to:

  1. Create a simplified charging structure based on the cost of the Room for a base number of people. For example a room that costs £100 for up to 2 people, but also has two fold out beds, for which you charge an extra £10 each per night.

  2. Create Inventory called 'Room 1'.

  3. Create one Product called 'Deluxe Room' with a capacity of 4. In the description, ensure that you indicate that the cost is for two people and the customer will be required to pay for any additional people on arrival.

  4. Allocate Room 1 to the 'Deluxe Room' Product.

  5. Allocate the various prices for 2 people to the Product.

  6. Ensure that you have the appropriate Expense Codes loaded (e.g. 'Additional Person').

Packages and Special Offers

Question

What if I have a Product that I want to sell in a number of different ways, such as by itself, or as part of a package?

Answer

The recommended solution is to create more than one Product. For example, a resort may have a bungalow that can be sold by itself at the normal rate, or as a package with champagne on arrival and daily breakfast.

  1. Create one unit of Inventory called 'Bungalow 1'.

  2. Create two Products: one called 'Gardenview Bungalow' and in the description, enter general information about the accommodation. Then create one called 'Gardenview Package' and in the description add everything that is included in the package as well as general information about the accommodation.

  3. Allocate Bungalow 1 to both Products.

  4. Allocate the appropriate prices to each Products.
