The Check-Out function will be used primarily by Accommodation operators, however, this function may also be used in the same way to account for Customers arriving/departing for Tours/Attractions/Events bookings.
If the Check-Out function is not required, Customer accounts can also be managed by using the View Bookings by "
Accounts" screen to view a list of Open accounts, make payments and close accounts as required (e.g. daily or at the end of each Tour/Attraction/Event).
The Check-Out process can only be completed if the Customer has previously been checked-in and the amount owing within the Customer's account has been paid in full (i.e. total now owing = £0.00).
Any amounts owing by the Agent (if an Agent booking) will be invoiced to the Agent once exported to your accounting package.
In the Customer Folio , click on the "Add Expense/Discount" button to add any expenses to the account (SEE ALSO Expenses and Discounts) and click on the "View Tax Invoice" button to print an invoice if required.
Click on the "Add Payment/Refund" button to process payment for the account to bring the balance to £0.00 owing (SEE ALSO Payments and Refunds).
Now there is no outstanding money on this account, click on "Check Out" button from the left hand menu.
In the Check-Out screen, check the corresponding boxes to confirm the return of door keys and equipment loaned. Check-out cannot continue until these boxes have been checked or a reason given for why the check list could not be completed.*
Click on the "Continue" button.
* If door keys and equipment are not returned and an explanation given, the notes typed into this field can be retrieved at any time after the customer's stay for reference purposes. To find this information at a later date, search for the customer and open the Customer Folio. Click to highlight the relevant account (if more than one account), then click on the "View Booking" button from the left hand menu. Click on the Customer Details tab. Click on the Internal Notes tab at the bottom of the screen. The check-out notes are listed here.
