Cancel an Offline Booking

When making a booking for a customer, an Account is automatically created that contains product, payment and expense information. An Account can contain more than one Product, for example, one Customer may book three rooms or three tours.  

If all the products in the booking are to be cancelled, follow the instructions under Cancel all Products in Booking (Account) below.

If only one or more products are to be deleted (for example, the Customer now requires two rooms instead of three), follow instructions under Delete Products from Booking (Account).

Cancel all Products in Booking

  1. From the "Diary" screen or the "Account" screen, locate the Customer whose booking you wish to cancel, right click on the booking and select Cancel Booking from the menu displayed.

OR

  1. Search for Customer/Booking. In the Customer Folio, click to highlight the relevant account. Click on the "Cancel Booking" button in the left hand menu.

  2. Note the warning. If you wish to cancel all Products in this Account and close the Account, click on the "Yes" button to proceed. If the Account balances to £0.00 owing by the Customer, i.e. no payments have been made or expense incurred, the Customer Folio will show that the Account has been automatically closed.

  3. If the Account does not balance to £0.00 owing by the Customer after the cancellation, another warning will appear asking you to adjust the account and manually close. This may be because there are payments owing, refunds due or expenses to be charged on the Account. In the Customer Folio,  process the necessary Payments/Refunds, or Expenses/Discounts.

  4. If the Account needs to be manually adjusted so the balances due is £0.00 owing by the Customer, the next step is to the Close the Account.  

If the customer has booked online, they may be entitled to a full refund.

Delete Products from a Booking

Follow these steps if you are dealing with an Account that contains more than one Product, and you do not wish to cancel every Product in the Account.

  1. Initiate Edit Booking.

  2. From the Bookings table at the bottom of the screen, right click on the Product in the booking you wish to cancel and select Delete Product.

  3. When prompted, select "Yes" to confirm the deletion.

  4. Click on the "Confirm" button.

  5. It may now be necessary to Process a Refund or charge a cancellation fee (Process an Expense).
