Products - Non-Serviced Accommodation

- To change the description, settings or image of a Product

- To change the pricing of a Product

- To remove associated Inventory from a Product

You will need to consider the following details when creating new Products:

Name: The name or term used to describe the Product to the consumer. This name will be displayed to customers for selection when they are booking online.

Code: The shortened version of the name applied to the Product for internal purposes. Products will be listed in your Status screen (diary) and online booking pages in alphabetical order based on the code name. Therefore, it is recommended that the product you wish to appear first (and use most often) is allocated the letter "A" or "1" as the first character of its code name and so on for remaining Products.

Inventory: The individual units that can be sold as part of a particular Product.

Description: What you want customers to know about the Product and what will motivate them to buy. This is the description that the customer will view when booking via online channels including your own website. Type in the description, or copy and paste from your website or other electronic source.

View Products

  1. Click on the Manage tab.

  2. Click on Inventory Setup in the left hand menu. If you have previously created any Products, a summary will be shown.

  3. Click on the Product Name or the (View) button to display further details.

This screen details all this Product's Associated Seasons and Price Types, Block Periods, Inventory and Combined Inventory.

Create New Products

  1. Click on Inventory Setup in the left hand menu.

  2. Click on the " Add Product" button.

  3. Select the Classification for this Product from the drop-down list. This is the classification under the Product will be grouped when a customer enters search criteria to book via online distribution channels and is specific to non-serviced accommodation.

  4. Enter the Name. This name will be displayed to consumers for selection when they are booking online.

  5. Enter the Code. The shortened version of the name applied to the Product for internal purposes. Products will be listed in your Status screen (diary) and online booking pages in alphabetical order based on the code name.

  6. Enter the Description. This is the description that the customer will view when booking via online channels and your own website. Type in the description, or copy and paste from your website or other electronic source.

  7. Select the Type of Product: Normal, Special Offer or Package.

  8. Enter the Number of Rooms that this product has. If the unit has no rooms, e.g. a campsite, enter 0.  

  9. Select the Supplements that can be purchased when this product is booked by checking the appropriate box/es. SEE ALSO Supplement Codes.

  10. Select Yes or No for "Is tax exempt". Select Yes if you are not VAT registered and do not want VAT automatically calculated for the prices entered for this Product.

  11. Select Yes or No for "When booked does this Product need to be serviced daily". If a daily clean or service is included in the price of this Product, select Yes; the Product booked will then appear on the Cleaning Report under "Daily Clean".

  12. Enter an amount into "Maximum capacity of Product". This is the maximum number of people that this Product can accommodate.

  13. To give customers the ability to view one or two images of this Product when booking online, click on the "Browse" button beside Picture 1 or Picture 2 and select a jpeg file from your hard drive. Note that the files must be 200x100 pixels in size.

  14. Click on the "Save" button.

  15. Repeat steps 2 to 14 to add further Products.

Edit Products

To edit the basic Product information, e.g. name, description, product image, settings (e.g. Online booking status):

  1. In Manage, click on Inventory Setup from the left hand menu. A summary of previously created Products will be shown.

  2. Click on the (Edit) button beside the Product to be modified.

  3. Make the necessary changes to the Product details, settings or image.

  4. Click on the " Save" button.

To edit the pricing of a Product:

  1. In Manage, click on Inventory Setup from the left hand menu. A summary of previously created Products will be shown.  

  2. Click on the (Pricing Rule) button beside the Product to be edited.

  3. Select the Season.

  4. Select the Price Type.

  5. Make the necessary changes to the pricing rules and rates. To delete an existing pricing rule for a Product, click on the " Delete" button beside the relevant rule.

  6. Click on the " Save" button.

To remove associated Inventory:

NOTE: It is not possible to remove inventory that has forward bookings in the system. You will need to first move the bookings to another room, before proceeding.

  1. In Manage, click on Inventory Setup from the left hand menu. A summary of previously created Products will be shown.

  2. Click on the name of the Product in question.

  3. At the bottom of the screen, there will be a section titled, 'Associated Inventory'. Click on the (Delete) button corresponding with the Inventory to be removed from this Product.

  4. Read the Warning message and confirm the action and click on "Yes".

Delete Products

  1. In Manage, click on Inventory Setup from the left hand menu. A summary of previously created Products will be shown.

  2. Click on the (Delete) button beside the Product to be removed from the system.

  3. Note the warning and confirm deletion.
